Planting documents
AvailableThe purchase invoice and the plant passport kept with every batch of vines, together with photos of both documents. Before an inspection you can see which batch is missing what, instead of digging through a binder.
What the module gives you
- ✓ A batch of vines with invoice data: number, date, supplier, variety, quantity and rootstock
- ✓ The plant passport written down as elements A-D, as required by Commission Implementing Regulation (EU) 2017/2313
- ✓ Photos of the invoice and the passport taken with a phone, stored on the account Drive
- ✓ A completeness status on every batch and a warning about rows that no batch covers
What it is for
When a vineyard is registered, the authorities ask where the vines came from: which nursery sold them and whether they had a plant passport. The module keeps that evidence in one place, separately for each batch of vines.
A batch is one purchase: usually one invoice and one delivery that goes into several rows. You can assign a batch to selected rows or to a whole parcel, because the evidence is not accounted for the same way everywhere. Rows and parcels come from the Rows and parcels module.
When a batch is complete
The app works out the completeness itself. Three things are needed:
- ✓ invoice: number, date, supplier, variety, quantity and at least one photo
- ✓ plant passport: elements A, B, C and D plus at least one photo
- ✓ location: selected rows or a whole parcel
Rootstock, passport number and planting date are optional. A complete batch gets a Complete badge on the list, the others show what is missing, for example "Missing: passport scan, passport C".
Summary and printout
Counters above the list show how many batches you have, how many are complete, how many are incomplete and how many vines in total. The Incomplete only filter leaves just the batches with gaps, and if no batch covers a given row, a warning with those row numbers appears above the list.
Print summary opens an A4 landscape sheet: producer details, print date, a table of batches with passport elements A-D, the total number of vines and an explanation of the elements in the footer. From the print dialog you can save it as a PDF. Document photos are not part of the printout, you show those from your phone.
How to start
In the menu choose Vineyard › Planting documents › Add batch
Copy the invoice, copy elements A-D from the passport label that came with the vines, photograph both documents and select the rows. Elf does not remind you about gaps and sends no notifications - you open the list yourself, ideally before you book an inspection.
